Introduction

This policy describes how Walker & Wilson Estate Agents Limited will use your personal data.

What data do we collect about you?

When you use our products and services, we will ask for personal information such as name; date of birth; home address; contact telephone number; email address; and payment details.

If you don’t provide us with this information, we may not be able to provide you with access to our products or services.

  • Credit Reference and Fraud Prevention Agencies
  • A party linked to you (e.g. Joint Applicant)
  • If we sell our business, we will only do this if they agree to keep your information safe.

Access to your information and correction

You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information to view or amend, please email or write to us.

How long will we keep your personal information?

We retain your personal data only for as long as we need it to comply with our obligations under The Property Ombudsman Code of Practice and rules set by HMRC.  The retention periods are:

  • Seven years for data related to a financial transaction with Walker & Wilson Estate Agents Limited (such as an Instruction to market a property)
  • Six years for data related to a property transaction (such as a Valuation, Offer or Viewing)
  • Five years for data related to our obligations under Anti-Money Laundering regulations
  • 18 months for other personal data not covered by one of the above.

Fees and Timescales

Firstly, we must verify the identity of the person making the request using “reasonable means”.

We will supply a copy of information free of charge. We can charge a fee when a request is manifestly unfounded, excessive, or repetitive therefore we can charge a fee where we have already supplied the information.

We will supply information within one month however this can be extended by up to 2 months if during that month the request is considered complex and/or numerous, and if we do, we must explain why.
